The Terms and Conditions given here, along with Terms and Conditions of Use of our web site and privacy policy comprise of our contract with you, as the renter, with VIP Cars as the broker, for the deals and services we provide in organizing for your car hire. These Terms and Conditions apply to all deals for the provision of our facilities and services, to the elimination of other Terms and Conditions. No manner or conduct of and by VIPcars.com shall be considered to represent approval and acceptance of any other terms. Acceptance of these services, facilities, or signature on any contract shall be considered as conclusive conformation of your acceptance of these Conditions.

These Terms and Conditions might be changed from time to time by VIPcars.com and the renter, you, must check our site to keep a check on any modifications or changes to the terms and conditions applying on you. Any type of car hire service used by you is subjected to the terms and conditions of car hire service enforced by the supplier or car hire supplier, along with laws of the corresponding country or state at which the car hire takes place in.

Our suppliers, with us as brokers, will provide car to you, the renter. Any booking made by you through this website is liable to these Terms and Conditions and your acceptance to the terms and conditions of the supplier, of which car hire service is booked by you through this website, so make sure you are aware of all the contents regarding the same.

Any booking made on this website by you, renter, depends upon your provision of accepting Terms offered by us. In case you do not approve any part of our Terms, you must not continue with your booking with us. By making any booking with this website, you indicate or confirm that you have gone through the relevant Terms and accept them. We, the broker, will notify you, the renter, about the availability of the requested vehicle by emailing a booking confirmation voucher if your offer has been accepted. In situation, where the car type or car model booked by you is not available with our supplier/suppliers, we will be informing you with possible alternatives which if acceptable by you, the renter, shall be incorporated in your current booking by modifying it and will be resend to the supplier for consideration. If not accepted, we hold the right to cancel the booking and refund your deposit, if any, with us.

This implies that even though we cannot confirm you regarding the availability of your requested vehicle, we will use our reasonable endeavors to find it for you and will inform you of the outcome within 48 hours of your request.

Please note that you, the renter, will not have any contract for car hire at the price offered until your booking has been confirmed and the necessary payment has been received. If you have any questions, please feel free to contact us. Please note that any contract entered into will be with the individual actually booking the vehicle and all correspondence will be sent to that address given, even where a third party actually pays for the hire.

You must present your voucher to the car hire supplier when you pick up your rental vehicle. VIP Cars will not be held accountable under any circumstances for any rejected car hire service, in case of your failure to provide the supplier with your car hire confirmation voucher, at the time of pickup.

VIPcars.com does not accept any responsibility for any charges incurred due to documents signed for and accepted at local level. For any damage caused to the hired vehicle by any person driving under the influence of alcohol or drugs, off-road driving or driving carelessly, VIP Cars should not be held responsible. You, as the car renter, will take full liability in respect of such claims or situations.

Limited Liability Clause

If your booking, as a renter, has been accepted by the supplier, but at the time of your car hire pickup, supplier insists to provide you with any other alternative car with higher or less value or refuses to provide you with the originally booked car, we, VIP Cars, should not be held liable for any such inconvenience and any such issues should be dealt by you, the renter, with the supplier directly at his premises or pickup location with the supplier's staff.

VIP Cars is only a car hire service facilitator which acts as a broker between you, the renter, and the supplier. By using our services, you agree and accept not to hold VIP Cars responsible for any damages, extra charges or expenses other than the rental costs caused in any form, either by you or the supplier. In situations, where VIP Cars is responsible for any refunds, the liability of the refund amount by VIP Cars is only up to the deposit made by you, the renter, online at the time of booking.

Collision Damage Waiver

Collision Damage Waiver or CDW reduces your legal responsibility from the total damage cost, to a surplus amount applicable except if the damage caused by you is intentional and under the influence of drugs/alcohol; or if you use the car in a negligent way, such as renting it to other parties or driving off main roads. Collision Damage Waiver also covers charge for damage to the rented vehicle or its accessories. In some destinations windscreens, under carriage, replacement keys, tyres, towing charges and replacement locks are not covered by the insurance policy. We recommend that you check with your car hire supplier for other such exclusions applied at your booking service, during the vehicle collection.

Theft Waiver

Theft Waiver or TW reduces your legal responsibility in the event of thievery or damages caused due to attempted theft or theft of the vehicle. Any sort of negligence associated with the theft of the rented vehicle could lead to the car hire supplier wanting the complete amount or cost of the rented vehicle. Before you book a car, please check about Theft waiver service in the terms and conditions of your car hire supplier, to know whether it's inclusive of all charges or might require extra payment.

Delivery & Collection Charges

Delivery and collection charges will be applied by the car hire supplier out of normal office hours, even when late collection vehicle is a result of a flight delay. In the majority of locations, the car hire supplier will provide delivery and collection to and from accommodation, though a charge might apply in such case. Complete address details along with a vehicle delivery time must be provided during the time of rental booking. Please make a note that vehicle deliveries are not provided for private accommodation.

Out of Hour charges

At most of the locations, vehicles are supplied even out of the normal work hours in order to meet the flight timings. But, in such cases you might be charged additional which must be paid to the car hire supplier. Please read the supplier terms and conditions to check if any such charge is applicable, while you verify your rental pick up time in your vehicle booking. In situations, where a flight gets delayed causing the vehicle pick-up service to go beyond normal working hours, extra charges are payable locally at locations, where 'out of hours' service is accessible. VIPcars.com does not accept any further liability where there is no 'out of hours' service available.

IMPORTANT NOTE

Please keep a check on the insurance details provided by your car hire supplier. Third party cover might exclude, in some cases, blood relatives and immediate family members or residents of the same home address traveling along with you in the rented vehicle. You can directly purchase your top up policy from the car hire supplier or in some cases these might be already added in your holiday insurance. VIPcars.com suggests that you get familiar with the insurance cover provided by the car hire service and if possible, acquire extra cover in respect of your close family members like spouse and children.

Personal Accident Insurance

This is an optional insurance, which might be included in your holiday insurance. Please check the terms for these with the supplier, before you book your car. You can always purchase your Personal Accident Insurance or PAI on collection of your rental car.

Local Deposits & Petrol

Usually, a car hire supplier asks for deposit before you rent your car. This is to cover liability excess, petrol and other charges incurred during the rental. In most of the cases, a car hire supplier asks for a valid credit card on the name of the person who will be driving the rented vehicle. This deposit is refundable provided the car and its accessories are returned in the original condition and in accordance with fuel policy. There are some car hire suppliers that have fuel policy where you are suppose to buy your first tank and must return the rented vehicle empty tank, also in such policies there are no refunds for the fuel not used. Please check for these policies with the car hire supplier, before you book a car.

The supplier may block a security amount at the car hire desk which will be released as soon as the car is returned back at the drop-off location in same condition as per your car hire agreement. Make sure that your credit card has sufficient funds available to cover the excess amount during pickup. Failing to produce a valid credit card or credit card with insufficient funds, the supplier may refuse to provide you with rental vehicle. VIP Cars will not be held responsible for any such incidence and will not process any refund.

Minimum/Maximum Age Limitations

Generally, the minimum age limitation for car hiring is 21 years. Extra charges might apply with some suppliers & in some countries for drivers with less than 25 years and beyond 65 years of age. For any extra charges in case of deviation in age limit or a change in car hire age policy, please refer to the Terms and Conditions of the car hire supplier. For any query regarding age requirements while renting a car, please get in touch with our team as well.

Additional Drivers

For charges applying on additional drivers, you must check with policies as well as terms and conditions of the respective car hire supplier.

Period of Hire/Daily Rate Calculation

A car hire period is usually calculated and charged on the basis of a 24 hour time cycle. Once you have collected your vehicle, the rental period extension and late returns are charged at local tariff, by the supplier. You may refer to the supplier for further details on the charges for the same.

Early Return / Late Return /Rental Extension

Time of your car hire starts and ends in accordance to pick-up and drop-off information on your car hire voucher. The charges are calculated in accordance to 24-hour units and will be confirmed to you during the time of booking. If you want to extend your car hire time after collecting your car or if in a case where you return your car later than the time/date declared on your car hire voucher, then the deal for any such extension should always be done with the car hire supplier and the same will be charged by the car hire supplier at the local charges, which are usually higher than the standard rates. Unfortunately, VIPcars.com is not liable for making any refunds for cars returned before time.

There is no refund or return of any amount in cases of an early rental return.

For late return extra charges may incur meeting the policy of your supplier. These must be paid to the supplier upon the return, if applicable.

One Ways

One-way rentals may be subject to certain drop-off charges, to be paid to your car hire supplier. You will be advised on the approximate costs once we collect booking request & confirm with your car hire supplier. One way charges may vary from supplier to supplier and are also subject to change in case of different drop off location which is other than the car hire location or in a different country. All the details pertaining to the drop off charges shall be mentioned in your car hire confirmation voucher. In case you'd need more information, you may contact the supplier directly.

Child Seats and Special Requests

Child seats, roof racks and extra items are provided on making a request in the majority of destinations, but there is no such guarantee of availability. In majority of US states, child seats are obligatory. Usually, there is a cost payable to the car hire supplier. Make a note that rear seat belts might not provided in all vehicles. For any such request, you must check with the car hire supplier at the time of booking.

Driving Areas

If you intend to drive from one country/state to another, you must inform us at the time of booking, since crossing country or state has its own conditions and restrictions, which may vary from supplier to supplier. Local charges might apply and extra documents might be required for travel to certain countries. For any such restrictions, please go through the supplier's terms and conditions under the "Rental Terms" link provided at VIP Cars or contact us.

Extras might be excluding the tax amount

If You Wish to Make Changes to Your Booking

Terms and Conditions for car hire booking vary from supplier to supplier. You are advised to refer to all such Terms and Conditions prior to booking the car. In order to cancel or make changes in your booking, call our team on +1-914-368-0091 or +44-208-196-9510 and we will then inform your car hire supplier regarding the amendments. The car hire supplier can accept or deny the modifications to your booking. In event of denial to the changes by the supplier, VIP Cars will not responsible for the same, as the decision is solely based on supplier's discretion and is subject to availability of the vehicle with the supplier.

If We Make Changes to Your Booking

Sometimes your car hire supplier or we can make changes to your booking, in such cases; we will advise or inform you as soon as possible. If any such changes are not acceptable by you, you will be refunded the deposit amount made at VIP Cars. However, in any such situation, we hold no extra liability in terms of any direct or indirect loss suffered by you as a consequence of such changes.

VIP Cars reserves the right to terminate the contract at any point of time by duly informing the customer along with the reason which can be, but not limited to, technical / system error or due to any unforeseen circumstances. In an event, where the car hire contract has already been initiated with the supplier, the renter has to return the car at the nearest possible location. Failing to return the car VIP Cars holds no financial responsibility whatsoever towards the customer. If the car has been returned to the rental station, only charge that the customer will incur shall be for the number of days the car hire service has been used.

Documentation

While making a booking, you should provide us with all the necessary details such as flight number, local address and phone number, as well as the arrival time at the time of booking. Once the booking is accepted, you will receive your car hire voucher within 48 hours of your booking request.

There might be a situation, where some of the requested vehicles might take time to become available and in such cases, you will be informed by us or the supplier directly.

At the time of car hire pick up, you will be required to provide your car hire confirmation voucher, valid driving license/international driving permit, credit card in renter's name and in some cases a passport might be required. For more information on the required document, please refer to the information given on your car hire voucher or contact your respective supplier.

For any car hire service rejected at the car hire desk due to inability to present the car hire voucher or sufficient & required identification documents (such as: valid driving license, Credit Card or other ID proofs) during car collection, VIPcars.com must not be held responsible.

Such cases of insufficient or no documents are, and would, be treated as a 'No Show' and thus you would not be entitled to any refund or return of money paid for your rental.

Driving License & Age Requirements

Driving license & Age Requirements varies from country to country. Please refer further to the "Rental Terms" link, given against each and every listing of cars at the time of searching your car hire, right before the booking the page. In usual cases, you must provide a valid driving license. You must also produce an international driving license/permit at the time of rental, to the supplier, if required. Please make a note that an International Driving License or Permit cannot substitute the requirement of a standard driving license. Even if you have an international license or permit, you are required to provide a full driving license in your name in order to hire a car.

We must be warned of any endorsements during the time of booking and VIPcars.com holds right to decline the booking based on it in accordance to its supplier's Terms and Conditions. We advise that you, if driving the vehicle, must have your driving license permanently for inspection by local authorities. Our local suppliers can refuse any refunds for rentals in a case of non-production of a valid driving license.

Car Capacity and Vehicle Type

All the rented cars are insured for a specific (maximum) number of passengers. Although VIP Cars ensures that the seating capacity of the vehicle is as accurate as possible, however, since, the vehicle data is sent by the supplier to VIP Cars, any change in the vehicle specifications (including car capacity and vehicle type) at the time of rental should be dealt with the supplier only. VIP Cars does not accept any responsibility for the rental car being inapt for all passengers and their luggage. For a guide refer to our website for approximate number of passenger of car groups on hand. For any car hire service denied during vehicle collection or else due to the party size not being suitable for the vehicle, you must not hold VIPcars.com responsible. We do not guarantee any vehicle model or its make. Any vehicle shown on the car hire voucher given to you is for guidance and can be substituted for different model or upgraded model of the vehicle could be made available by the supplier. Any refusal to such changes should be dealt directly with the supplier and not with VIP Cars.

Provision of Cars

Car rental/hire companies/suppliers have all the rights to deny a vehicle to a person unfit to drive or ineligible to meet the requirements. We, VIPcars.com, should not to be held responsible for completion of travel arrangements, compensation, cost or any refund in such cases.

Complaints

Although, VIPcars.com is affiliated with only the best and most reputed car hire suppliers in the market, ensuring that quality cars are provided to you by car hire suppliers. But in case where you are not satisfied or have any complaints regarding the quality of vehicle collected by you, make sure you report this to your car hire supplier. It is hard for VIPcars.com to assess any such claim concerning the quality of the rental vehicle, if no action is taken during the car hire. We advise you to contact us on time regarding your dissatisfaction.

Mechanical Difficulties/Accidents

In a situation of mechanical difficulties or vehicle breakdown, you must call your car hire supplier right away. If you get involved in any accident, you must contact your car hire supplier and the local police immediately. It is advised that you do keep all the significant documentation, you might be asked for it. The documentation will be required when you wish to claim for insurance.

Your car hire is subjected to all the terms and conditions of car as imposed by your car hire supplier, our terms and conditions as well as to the corresponding laws of the country/state where the rental takes place. VIPcars.com does not accepts responsibility for and should not be held liable for any damage, delays, loss, changes or alterations arising from industrial dispute counting air traffic control disagreements, civil strife, unavoidable technical problems with transport, terrorist activity, fire or adverse weather conditions, closure or congestion of airports or ports, natural and nuclear disaster, financial failure of airlines or cancellation of scheduled airlines.

Contract Terms with VIPcars.com

If you choose to rent with VIP Cars, it is important that you comprehend how and when a deal is formed. Following are the technical steps that form a contract:

By quoting prices over phones or placing our services on our site, we are asking you to make a purchasing offer. You make either an offer to purchase verbally or by clicking on 'Book Now'. VIPcars.com accepts this offer upon receiving desired payment from you, the renter. VIP Cars only serves as a broker and a facilitator to make arrangements for your car hire booking with its respective supplier base. The total rental amount includes supplier's rental amount, VIP Cars service charge and taxes.

VIPcars.com shall not be liable itself or vicariously through the car hire suppliers for either a failure to perform or delay in performing any of its obligations under or pursuant to this booking, voucher, reservation, rental or terms and conditions, if and in so far as performance is delayed, hindered or prevented by force majeure, which expression shall mean any event beyond the reasonable control of the party in question. In the event that the force majeure persists for more than 14 consecutive days, VIPcars.com may terminate and withdraw this booking, reservation or rental by sending a notice to your, the renter's, original mailing address and refunding all amounts paid prior to the force majeure event.

Booking Cancellation Policy

  • 100% refund of pre-payment will be made to the customer where the booking has been cancelled 48 hours before the pick up.
  • In cases, where booking has been cancelled when less than 48 hours are left for pick up, an amount of GBP 30 or equivalent will be retained.

Non-Refundable Bookings

Non-Refundable Bookings, when booked, will not allow for any refunds to be issued upon cancellation of such bookings, regardless of any pickup hours limitations. Cancellation Protection is also not applicable on such bookings.

No Show Policy

Cases where a customer or renter fails to pick up the car after reserving it is called a 'No Show' situation, which largely means there would be no refund or return of money paid while booking the car.

Cancellation at the car hire desk

Last minute cancellation at the rental or car hire desk would be counted as a 'No Show' and is non-refundable.

Rental modification at the car hire desks

You may request a bigger/smaller car or another model of the vehicle at the car hire desk but the supplier holds the right to entertain any last minute car hire changes or modification, based on the availability of such cars. Extra charges may incur and must be paid at the car hire desk, if the rental change request is accepted by the supplier.

Full Protection Cover

Full Protection Cover is a service that can be purchased additionally by you, the renter, to get reimbursement on the deposit amount blocked and charged by the car hire company or supplier to recover damages or losses, caused under the car hire agreement signed.

  • You, the renter, is compensated by us, VIP Cars, for the deductible/excess deducted by your rental company, under your car hire agreement. The Full Protection cover limit varies according to your car hire contract, supplier, car type, and destination country. And the compensation amount is shown in the Full Protection Cover section along with your car on the rental booking page. The amount is also mentioned on your Rental Confirmation Voucher.
  • Full Protection Cover by no means is a replacement of CDW or Collision Damage Waiver. VIP Cars shall not be responsible if CDW is not included in your rental price by the car hire company.
  • Full Protection Cover can be purchased at the time of car hire booking or anytime before the pickup time of the rental vehicle.

Please Note: Renters are asked to provide a security deposit at the car hire desk, which is blocked on their credit card to cover the damages to vehicle, CDW deductible/excess, theft waiver's deductible/excess, fuel, etc. Even with the purchase of Full Protection Cover, the car hire desk staff might still ask you to leave a security deposit at the time of pick-up.

Full Protection Cover Inclusions

This Full Protection Cover is inclusive of:

  • Deductible or excess charges for rental theft & damages up to cover limit (as mentioned in the Full Protection Cover section on rental booking page & your rental confirmation voucher).
  • Repair charges for rental car's exterior body damages in result to any collision, such as:
    • Damage to roof up to 525 GBP
    • Damage to windows, windscreen or sunroof glass up to 670 GBP
    • Tyre replacement up to 90 GBP & Tyre repair/flat tyre up to 50 GBP
    • Damage to Wheel upto 150 GBP and hubcaps upto GBP 50
    • Undercarriage damage charges up to 410 GBP
    • Loss of Rental Days up to 80 GBP (The charges for the duration, for which, the car is unavailable with the supplier to rent while it's undergoing repair job at the workshop.)
  • Towing expenses – up to 265 GBP for Towing or roadside charges paid by you in relation to vehicle breakdown or vehicle damage only (Flat Tyre or Damage to Tyres not Included).
  • Covering single and first taxi payment made at your end after the car breakdown or damage, where the car is rendered immovable (except flat tyres or any damage to tyre).
  • Charges occurring due to loss of key or a locking out of the car incident up to 440 GBP
  • Misfueling (wrong use of fuel) up to 265 GBP
  • Administrative charges or fees to compensate the extra cost (Up to 100 GBP) incurred by rental company towards damages only (excluding other administrative fees, for example, for handling traffic violations, fuel surcharge or any related expenses), as well as other losses borne while the car is under repair. (Not applicable when the damage amount maximum cap is valid.)

Full Protection Cover Exclusions

This protection cover does not include the following:

  • Use of the rental car outside the terms of car hire agreement between you and the supplier.
  • Damages occurring due to failure to engage handbrakes in a stationary vehicle.
  • Any unauthorized or third party repair paid by you, the renter, on the rented vehicle without prior permission from or written communication with the car hire company/supplier.
  • Damages arising from incidents or accidents not reported to the local police or authority, as required by your car hire agreement.
  • Personal possessions/valuable lost.
  • Rental Extras like Child Seat, GPS, Snow chain, etc.
  • Out of pocket expenses like Hotel charges.
  • Damage to car's interior or mechanical parts including parcel shelf and spare wheel (unless incurred as a result of an incident).
  • Car cleaning costs.
  • Vehicle parts or items found to be damaged or defective at the time or rental pick-up or start.
  • Claims and charges resulting from minute and general wear and tear.
  • Claims resulting due to bodily injury.
  • Claims made due to the loss or damage sustained by or borne by any third party vehicle, person or property.
  • Claims on any legal costs or charges including but not limited to late-payment fees, debt-collection fees or any associated disbursement.
  • Claims risen out of any form or earnings, goodwill, profits, loss of time or a created opportunity directly leading to claim like situation.
  • Claim over unused car hire period or days under the predefined car hire agreement.
  • Claims over charges or damages raised after the 28 days timeline for the claim, based on the start and end date as mentioned on the cover.
  • Damages or claims risen from incident occurring after the expiration date of the insurance.
  • Damages arisen from uncontrollable/unforeseeable events or incidents like terrorism, war, natural disasters like floods, earthquakes, etc.
  • Damages occurring due to your inability to comply with terms and conditions of the car hire agreement and local laws, for example - driving off-road, driving under influence of drugs or alcohol or violating traffic laws, etc.

Full Protection Restrictions

  • This cover does not extend to the rental vehicles with more than 9 seats
  • Claims cannot be made if you are not mentioned as main driver on the car hire agreement
  • You must have permission to rent and/or drive a rental vehicle
  • Claims cannot be made after the cover reaches its expiry date. Please note that this cover will automatically terminated or expire at the end of its term, if and when not extended
  • No claims will be entertained in situation when your actions puts our company through any sanctions, restrictions or prohibition under United Nations resolutions or expose us to any kind of economic/trade sanctions or laws/regulations of European Union, United States of America and United Kingdom for fraud claims
  • Claims can also be impacted by situations, scenario and losses occurring from:
    • Any pandemic or epidemic
    • Any changes in currency exchange rate
    • Ionizing radiation or any radioactive contamination resulting from nuclear waste/nuclear fuel or any risk arising from nuclear equipment

Full Protection Cover Compensation Claim

To claim for compensation, renter must submit his/her claim by visiting https://www.vipcars.com/claims with detailed report of the incident, along with few additional documents as mentioned below:

    • Copy of car hire agreement signed with the Supplier/Rental Company with your name mentioned as the main driver
    • Document with assessment of rental vehicle at the time of pick-up and drop-off
    • Invoice or receipts to show deduction of the charges by the car hire company
    • Invoice or evidence of payment or charges made
    • Written detail of the incident along with photographic or video proofs of the incident and surroundings in case of a major accident for example multiple car crash, etc.
    • A copy of the police report (when applicable)
    • Copy of a valid driving license held by you, as the main driver of the hired car
    • Renter's bank account details including name of the bank, address of the bank, bank account number and any details needed to transfer the money
  • You must file for compensation within a specified time period of 28 days from the drop-off date, with the supportive documents for the claim, or else your application might be rejected and you would no longer be deemed eligible for any compensation.
  • You must give VIP Cars up to 28 calendar days for investigation of the incident and matter, where deemed.
  • If you, the renter, are found to be fraudulent with the claim or, offering misleading information to get the compensation, the protection cover becomes void and no amount or cover benefit would be paid to you. Any claim received by you too shall be repaid to VIP Cars, when and if a fraudulent activity is found.
  • Multiple Claims for a damage incident using different protection instruments (credit card cover, personal insurance policies, insurance at desk et al) are not allowed. If the damage has been claimed from personal insurance or similar instruments (credit card cover, insurance purchased at desk or used any other policies to avail damage costs) then Full Protection Cover is not applicable and cannot be claimed for any damages whatsoever.
  • Please Note: Any approval of or on claims will be finalized after evaluation and investigation on the claim & documents submitted to us, for claim processing.

How to Cancel Full Protection Cover?

  • You can cancel the Full Protection Cover any time before the pick-up time. You can also request for extension of your Full Protection Cover when planning to extend your car hire time, by contacting VIP Cars Support Team via Chat/Call/Email.
  • We hold the right to cancel this cover or any related claim without providing any refund, if you are found to be making a fraudulent claim or appeared to be abusive or threatening towards our staff.

Extra Cover

Extra Cover is a service that can be purchased additionally by you, the renter, to get reimbursement on the deposit amount blocked and charged by the car hire company or supplier to recover damages or losses, caused under the car hire agreement signed.

  • You, the renter, is compensated by us, VIP Cars. The compensation amount under Extra Cover is mentioned on the booking voucher, as sent to you.
  • Renters are asked to provide a security deposit at the car hire desk, which is blocked on their credit card to cover the damages to vehicle, fuel, etc. Even with the purchase of Extra Cover, the car hire desk staff might still ask you to leave a security deposit at the time of pick-up.
  • Extra Cover by no means is a replacement of CDW or Collision Damage Waiver. VIP Cars shall not be responsible if CDW is not included in your rental price by the car hire company.
  • Extra Cover can be purchased at the time of car hire booking or anytime before the pickup time of the rental vehicle.
  • You can cancel the Extra Cover anytime before the pick-up time. You can also request for extension of your Extra Cover when planning to extend your car hire service time, by contacting VIP Cars Support Team via Chat/Call/Email.

Extra Cover Inclusions

This Extra Cover is inclusive of:

  • Roadside assistance like flat tyre, towing, etc and related charges
  • Repair charges for rental car's exterior body along with tires, wheels, undercarriage, windows, windshield, mirrors & locks
  • Towing & taxi expenses in relation to car breakdown or similar incident
  • Charges occurring due to loss of key or a locking out of the car incident
  • Administrative charges or fees to compensate the extra cost incurred by car hire company for handling traffic violations or related expenses, as well as other losses borne while handling vehicle repair

Extra Cover Exclusions

This protection cover does not include the following:

  • Personal possessions/valuable lost
  • Rental Extras like Child Seat, GPS, Snow chain, etc
  • Out of pocket expenses like Hotel charges
  • Damage to car's interior or mechanical parts
  • Car cleaning costs
  • Third party damages that incurred in the incident
  • Damages arisen from uncontrollable/unforeseeable events or incidents like terrorism, war, natural disasters like floods, earthquakes, etc
  • Damages occurring due to your inability to comply with terms and conditions of the car hire agreement and local laws, for example - driving off-road, using wrong fuel in the car, driving under influence of drugs or alcohol or violating traffic laws, etc

Extra Cover Compensation Claim

To claim for compensation, renter must submit his/her claim by visiting https://www.vipcars.com/claims with detailed report of the incident, along with few additional documents as mentioned below:

    • Copy of car hire agreement signed with the supplier or car hire company
    • Document with assessment of rental vehicle at the time of pick-up and drop-off
    • Invoice or receipt to show deduction of the charges by the car hire company and payment of the charges by the renter
    • Written detail of the incident along with photographic or video proof of the incident, if taken
    • A copy of the police report (when applicable)
    • Renter's bank account details including name of the bank, address of the bank, bank account number and any details needed to transfer the money
  • You must file for compensation within a specified time period of 28 days from the drop-off date, with the supportive documents for the claim, or else your application might be rejected and you would no longer be deemed eligible for any compensation.
  • You must give VIP Cars up to 28 calendar days for investigation of the incident and matter, where deemed.
  • If you, the renter, are found to be, fraudulent with the claim or, offering misleading information to get the compensation, the protection cover becomes void and no amount or cover benefit would be paid to you. Any claim received by you too shall be repaid to VIP Cars, when and if a fraudulent activity is found.

RentalCover.com Claims

Claims arising out of the insurances sold through rentalcover.com would be settled only through the respective insurance service providers (underwriters) of Rentalcover.com. VIP Cars is only a facilitator between you, the customer, and RentalCover.com and its insurance service providers (underwriters). Thus, VIP Cars holds no responsibility towards claim handling of insurances purchased from Rentalcover.com.

Late Rental Pick-Up

If you arrive late at the rental counter without prior notice of any change in your travel plans, your car hire would be counted as a 'No Show'. Car hire suppliers holds the right of canceling your booking upon late pick-up, at its sole discretion, due to heavy demand of cars at the car hire desk. VIPCars.com is not to be held liable for any Cancellation and No Show caused due to your unavailability at the car hire desk.

To avoid the 'No Show' situation, you could request the supplier to hold your reserved car by informing of any change in your travel plans. It is advisable that you provide your Flight details at the time of booking so that the supplier can update themselves of your arrival timings in case of any delay.
